Managing thousands of delivery notes manually
Processing delivery notes is critical for order verification, traceability, and warehouse management. However, DHL's manual approach required two full-time employees working eight hours daily to handle data entry, with three of their largest customers alone responsible for 84,000 documents annually—some of these notes exceeding 30 pages. These documents arrived through multiple channels, slowing down processes and increasing error rates, while rapid e-commerce growth meant they urgently needed a scalable, cloud-based solution.

Using DocuWare Cloud to accelerate processes
DHL selected DocuWare Cloud, implemented by Ricoh, to eliminate manual data entry bottlenecks through automated capture and intelligent indexing. It integrated seamlessly with DHL's existing ERP system, enabling robotic process automation (RPA) for data extraction and verification. This had the added benefit of standardising warehouse operations while providing automatic alerts and notifications.The Outcomes

Manual work was reduced from two full-time employees doing nothing but processing all day to just one person working half a day on the same task.
