Automating High-Volume Document Processing in the Cloud

DHL Supply Chain Iberia processes thousands of delivery notes annually across 53 warehouses throughout Spain. Their manual data entry approach was labour-intensive, error-prone, and struggled to keep pace with the expanding e-commerce demands.

In this case study, learn how DHL partnered with Ricoh to deploy DocuWare Cloud—transforming their delivery note management from a time-consuming bottleneck into an automated, scalable system that reduced processing time drastically whilst virtually eliminating errors.

An Overview:

An-Overview-v2

DHL Supply Chain Iberia, a subsidiary of Deutsche Post DHL Group, operates 53 warehouses with over 3,500 employees across Spain. As a logistics leader in logistics, they serve customers from all sectors with tailored solutions—and rely on innovative technology partners to support the growing demands of e-commerce operations.

The Challenges

The-Challenges-v2

Managing thousands of delivery notes manually

Processing delivery notes is critical for order verification, traceability, and warehouse management. However, DHL's manual approach required two full-time employees working eight hours daily to handle data entry, with three of their largest customers alone responsible for 84,000 documents annually—some of these notes exceeding 30 pages. These documents arrived through multiple channels, slowing down processes and increasing error rates, while rapid e-commerce growth meant they urgently needed a scalable, cloud-based solution.

The Solution

The-Solution

Using DocuWare Cloud to accelerate processes

DHL selected DocuWare Cloud, implemented by Ricoh, to eliminate manual data entry bottlenecks through automated capture and intelligent indexing. It integrated seamlessly with DHL's existing ERP system, enabling robotic process automation (RPA) for data extraction and verification. This had the added benefit of standardising warehouse operations while providing automatic alerts and notifications.

The Outcomes

Drastic error-reduction with minimal corrections

DHL’s delivery note processing was transformed almost immediately. Manual work was reduced from two full-time employees doing nothing but processing all day to just one person working half a day on the same task. Employees could now focus on value-added work, even as automated workflows dramatically improved data quality and processing speed.
